Uniform and Kit

You are required to arrive at the airport and travel in uniformWe will be joining up with other international Scouting contingents at the airport and be travelling with them to the campsite. 
For those staying at Haverings, please ensure you have your uniform easily accessible and ready to put on in the morning.
You will be provided with your contingent necker and any contingent kit you have ordered at either Haverings or the airport, depending on where you are joining the contingent.
For those who ordered a contingent T-Shirt, please make sure to wear it on Wednesday.
Please remember that this is a formal Scouting and Guiding international activity and we are representing UK Scouting and Guiding! 
 

Before you Travel

Please test before you travel and if you test positive or have Covid symptoms you should not travel or go to the airport. For those who booked before June, our insurance covers the circumstance in which you are unable to travel due to Covid. If you booked after June and are in this situation, please get in contact with us as soon as possible.
 

Pre-Event Accommodation (Monday: Arrive 7-9pm)

If you are staying at Haverings, please aim to arrive on Monday between 7:00pm and 9:00pm, as there are people using the centre before we get there and we will be heading to bed early due to the early morning start. We will be cooking dinner together for those who have chosen the evening meal option.
If you are planning to arrive outside of this time, you will need to let us know in advance and reply to this email, or you may not be able to access the centre.

If you are arriving to the centre by train we will be able to collect you from Luton Station please give us a call on the event hotine 5 minutes before you arrive, and exit the station on the platform 5 side. Please then wait next to the drop off zone and we will pick you up. 
Alternatively if you are not able to get to Luton, we can pick you up from Luton Airport Parkway Station, however please let us know in advance if you are planning to do this, by replying to this email with the time you expect to arrive at Luton Airport Parkway. Please exit the station on the side with the buses to Luton airport.
 

Airport (Arrive by Tuesday 03:30)

We will be arriving at the airport for a 03:30 to meet up. It is imperative you are there by 03:30 or before - not after. We will be in an obvious location and should be quite obvious! If you are unsure, please ring the hotline or check the #iceland channel where we will be posting updates. 
We will then be heading to the bag drop for 04:00 when it opens, with the flight departing at 06:00. For those not familiar with airports or international travel, we will be going through as a contingent and make sure that everyone gets through and gets help with any problems along the way. We know that this is the first time flying for some attendees and will make sure you are supported through the airport.
For those travelling with the contingent, you have already been checked in for both the outgoing and returning flight. Seats are allocated automatically but we are allocated as a group and able to move/swap around in that group as needed. Your boarding pass will be provided to you at the airport.
For those not staying the night before, please ensure you arrive promptly. For those staying at Haverings, we will organise transport to the airport in the morning.

Communication during the event

We will be using the National SSAGO event hotline during the event on +442038850451 during the event if you need to reach the Iceland team - please ensure you have this saved on your phone. 
We would also encourage you to make sure you are in the #iceland Discord channel at https://ssago.org/chat and have installed the Discord app on your phone and set up notifications for that channel, primarily to ease arrival logistics.
Alcohol
Please be aware that alcohol is not permitted at any point on this trip - the Icelandic Scouts take this very seriously!
International Friendship
This event is open to Scouts aged 10 and up from across the world. A lot of the other participants in attendance will be younger than SSAGO, and the other groups a lot smaller. 
Please be friendly and interact with the others, as this is part of the point of an international trip, but at the same time please ensure that you behave appropriately and be aware of safeguarding considerations - remember that you are representing UK Scouting and Guiding! We have been asked by the organisers as an older and larger Scouting and Guiding group to make sure we set a good example.
We have also been asked to bring some "classic" and interesting things from the UK to share and show to others who might be interested, along with badges and things to swap/trade. 
 

Kit List

If you are staying at Haverings before the event, you will need to have a sleeping bag, sheet and pillow (or equivalent) for use on the bunk beds.

In Iceland, all camping equipment including sleeping bags, roll mats and tents (2-3 man) can be provided. All plates, cups and cutlery will be provided. You are also welcome to bring your own equipment if you wish.
Some of the key kit Iceland have suggested you bring in line with the activities we will be doing is the following:

  • Comfortable clothes
  • Warm clothes
  • Warm underlayers
  • Shorts
  • Long trousers (no jeans)
  • Waterproof jacket and trousers

  • Sunglasses
  • Water bottle, minimum 2 litres
  • Swimming suit
  • Clothes you don’t mind getting wet
  • Waterproof jacket and trousers
  • Spare pair of shoes
  • Fun/classic UK things to share with other participants
  • Games/Cards
 
And don't forget your passport!
You may also wish to bring some small games that you can share and play with others. There is unlikely to be any access to electricity while on camp, so you are encouraged to bring a battery pack or similar and use electrical devices sparingly, although there is no need to use them at all - enjoy the camp and the people.
We have also been asked to bring some "classic" and interesting things from the UK to share and show to others who might be interested, along with badges and things to swap/trade. 

Insurance

All members of the contingent are covered by the Unity Scouts International Travel cover: https://www.unityinsuranceservices.co.uk/scout-insurance/travel
We have the additional coverage for Covid-19, which covers you in the event you are not able to travel due to Covid-19 or if you need to make alternative travel arrangements due to Covid-19.

Contingent Flight Information

You may bring:
One small cabin bag
Maximum size 45 x 36 x 20cm (including any handles or wheels)
Includes items like a small trolley case, handbag, rucksack and laptop bag, but please check dimensions
Needs to fit under the seat in front of you
Maximum weight 15kg. You need to be able to lift and carry the bag yourself

One 15kg Hold bag
Maximum weight: 15kg
Please check at https://www.easyjet.com/en/terms-and-conditions/dangerous-goods for what goods you may or may not bring and in which bags - this is very important as if you pack something in the wrong bag, it will be taken off you at the airport.
We would suggest that you label your luggage and rucksack with your details and a contact number on.
There are no longer any Covid restrictions on entering Iceland or returning from Iceland to the UK.
 

Food:

Upon reaching Iceland, all food will be provided up to the point we leave. Mealtimes are as follows:
 
Breakfast - 09:00
Lunch - 12:00
Coffee Break - 16:00
Dinner - 18:00

Mealtimes are strict and you must be on time. On days where you are off-site, you will be provided with a packed lunch.
For those with dietary requirements, these have been passed on to the organisers who will make sure you are accommodated. If you have any specific concerns, you may discuss them with the Iceland team when you arrive.
